Frequently Asked Questions

Find answers to the most common questions about registration and accreditation.

What documents are required for delegate registration?
+

Delegates require: (1) Official nomination letter from the Ministry of Foreign Affairs on official letterhead, (2) A valid diplomatic or official passport copy, (3) A high-resolution official photograph (minimum 300 DPI), and (4) A completed online registration form. All documents must be submitted in PDF format.

How long does the accreditation process take?
+

Standard processing time is 5 business days from receipt of complete documentation. Diplomatic accreditation may take up to 10 business days due to additional verification requirements. Applicants will receive email notifications at each stage of the process.

Can I apply for multiple accreditation categories?
+

No. Each individual may only hold one accreditation category per event. If you are both a delegate and a media professional, you must choose the primary role you will fulfil during the event. Please contact the accreditation office if you have specific dual-role requirements.

What is the process for replacing a lost badge?
+

Lost badges must be reported immediately to the accreditation desk at the venue. A replacement badge can be issued upon verification of identity with valid photo ID. A replacement fee may apply. The lost badge will be deactivated immediately upon reporting to maintain security.

Are there provisions for persons with disabilities?
+

OACPS is committed to inclusive access. Please indicate any accessibility requirements during registration. We provide wheelchair-accessible facilities, sign language interpretation upon request, and dedicated support staff. For specific needs, please contact accessibility@oacps.int at least 30 days before the event.

Can accreditation be transferred to another person?
+

Accreditation is strictly personal and non-transferable. If a registered delegate cannot attend, the nominating organisation must submit a formal request for substitution at least 7 days before the event, along with all required documents for the replacement individual.

How do I track my application status?
+

You can track your application using the "Track Application" feature on this portal. Enter your application reference number and registered email address. You will also receive automatic email updates when your application status changes. For urgent enquiries, contact accreditation@acp.int.
